Details of the role:

  • Receptionist/Administrative Assistant
  • 37.5 hours per week
  • Monday to Friday 8.45am to 5.15pm (ability to be flexible if there is an internal event planned)
  • Salary to be discussed at interview
  • Reporting to the HR Director

Desirable criteria:

  • Previous customer service/ client experience
  • Exceptional communication skills (telephone, email and face to face basis)
  • Previous experience of working with a switchboard
  • Good knowledge of systems and Microsoft office applications
  • Is willing to work on a variety of tasks and flexible in their approach to work
  • Ability to organise and multi-task
  • Ability to work on own initiative
  • Professional and well presented

Job Duties include (non-exhaustive list):

  • Provide administrative support
  • Answer telephone calls, retrieve and forward messages
  • Greet and direct visitors upon arrival and departure
  • Daily hand delivery duties
  • Maintain meeting rooms diary and
  • manage room bookings
  • Organised catering for internal meetings, seminars and training
  • Make refreshments for internal meetings, seminars and training
  • Setting up and clearing conference rooms (for all client meetings, internal and external events)
  • Update telephone directories and employee contact information for call lists
  • Deal with all incoming and outgoing post
  • Communicate all hand- deliveries to the person they are intended for
  • Order supplies for the office to ensure smooth running of meetings rooms
  • Document swearing duties – writing receipts, giving change, updating and maintaining the rota
  • Organising the reception rota for lunch and annual leave cover
  • Checking emails and faxes and responding to all queries from employees and clients
  • Keep a daily log of employees who are out of office, on annual leave or at court
  • Fire safety roll call at meeting point
  • Liaise with facilities on any maintenance issues for meeting rooms, downstairs kitchen or reception areas
  • Keep a log for the accounts manager on any catering orders
  • Take card payments for clients
  • Other general administrative duties
